Journey Booking Terms

These Journey Booking Terms apply to all self-guided journeys offered by Self Guided Travel and should be read alongside our Terms and Conditions, Privacy Policy, and any journey-specific information provided during the enquiry and booking process.
1. Booking Requests
All journeys are subject to availability.
A booking request does not constitute a confirmed booking.
The booking process is as follows:
• Traveller submits an enquiry
• Self Guided Travel checks availability and prepares a quotation
• Traveller accepts the quotation
• Traveller pays the required deposit
• Self Guided Travel confirms the booking
We recommend making enquiries as early as possible to ensure accommodation and services can be secured.
Self Guided Travel generally requires a minimum of 28 days' notice before the intended departure date. Requests made within 28 days of departure may be declined or accepted only where arrangements can reasonably be secured.
2. Deposits and Payments
A deposit of 25% of the total journey price is required to secure a booking.
The remaining balance must be paid no later than 8 weeks (56 days) before the departure date.
Where a booking is made within 8 weeks of departure, full payment will be required at the time of booking.
Failure to make payment by the required date may result in cancellation of the booking.
Once a booking has been confirmed, the deposit becomes non-refundable.
The deposit covers administration, planning, accommodation coordination, and other costs incurred in arranging the journey.
3. Cancellations by the Traveller
All cancellations must be made in writing by email.
The following cancellation charges apply once a booking has been confirmed:
• More than 56 days before departure: Deposit retained
• 55 to 29 days before departure: 50% of the total journey price
• 28 to 15 days before departure: 75% of the total journey price
• 14 days or less before departure: 100% of the total journey price
4. Changes Requested by the Traveller
Any request to change dates, accommodation, or other arrangements is subject to availability.
Additional costs incurred as a result of requested changes may be charged to the traveller.
Self Guided Travel is not obliged to accept requested changes once a booking has been confirmed.
5. Changes by Self Guided Travel
In rare circumstances, it may be necessary to amend accommodation, route information, itinerary details, or other arrangements.
Where possible, any changes will be communicated as soon as reasonably practicable.
Where accommodation changes are required, Self Guided Travel will seek to provide accommodation of a similar standard wherever reasonably possible.
No compensation shall be payable for minor changes that do not materially affect the overall journey.
6. Travel Insurance
Comprehensive travel insurance is mandatory for all participants.
Insurance should provide appropriate cover for cancellation, curtailment, medical expenses, personal liability, personal belongings, and any activities undertaken as part of the journey.
Travellers are responsible for ensuring suitable insurance is in place before departure.
Proof of travel insurance may be requested before final travel documents are issued.
7. Fitness and Responsibility
Travellers are responsible for assessing whether a journey is suitable for their abilities, experience, and physical fitness.
Self Guided Travel provides route information and guidance, but participants remain responsible for their own decisions, safety, and conduct throughout the journey.
Travellers must comply with local laws, access restrictions, safety guidance, and countryside codes where applicable.
8. Force Majeure
Self Guided Travel shall not be liable for delays, changes, cancellations, losses, or additional costs arising from circumstances beyond our reasonable control.
Such circumstances may include, but are not limited to, severe weather, natural disasters, industrial disputes, transport disruption, government restrictions, public health emergencies, or other unforeseen events.
9. Limitation of Liability
To the fullest extent permitted by law, Self Guided Travel shall not be liable for indirect, consequential, incidental, or special losses arising from participation in a journey.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot be excluded or limited under applicable law.
